A case you can explain
Start with one workflow and one business goal. Describe what changes, who uses the tool, and what stays the same.
1. Set the baseline
Record the current task volume, time per task, error rate, and cost. Add the source and date. An estimate is useful when you label it as an estimate.
2. Estimate usable capacity
Capacity means the work a team can do with its available time. Start with gross time saved. Reduce it for review, rework, and tasks that cannot use the tool. Then apply the share of people who will actively use it.
The calculator spreads working weeks evenly across the year. Its ramp setting raises adoption gradually. The ChatGPT tool also accepts an explicit monthly adoption schedule.
3. Identify a spending action
Saved time is not automatically cash saved. An action such as reducing contractor invoices or overtime can change spending. A proposed reduction in future hiring is cost avoidance. Confirm the hiring plan first.
Use “capacity only” when there is no spending action. Use a conditional scenario to explore a possible action. Use buyer-reported amounts when a budget owner supplies a monthly schedule. The service does not verify that evidence.
4. Include all costs
Include setup, training, integration, software, AI usage, support, security work, and human review. If costs are incomplete, the tool withholds net benefit, ROI, and payback.
5. Compare three scenarios
Change adoption, usable time, and cash conversion. Use a low case that could actually happen. Keep losses visible. Never change assumptions just to reach a target return.
6. Explain the decision
Return on investment (ROI) compares net benefit with cost. Payback is the first month-end when cumulative cash recovers an outlay. These figures use pre-tax, undiscounted cash. They do not include the time value of money.
Close with the biggest unproven assumption, the budget owner who can confirm it, and a pilot that measures time, quality, adoption, and spending.

Read the account first
Before a first executive meeting, open the account snapshot. Enter a few years of revenue, costs, and balances from the customer's annual report. You get trends, a Lever Value for each measure (what a 1% or one-day improvement is worth), Best-Year and Peer Gaps, and who usually owns each measure. Use one observation and one Lever Value to ask for the buyer's goal. These figures start a conversation. They do not promise a result.
Scope
The calculator models capacity, cost savings, extra profit from extra revenue, and one-time cash release, with ROI, payback, and optional net present value. It does not fetch company filings, store deals, value securities, or provide investment, tax, or accounting advice.
